Calibre Digital & Global Consulting Ltd is committed to protecting the privacy and security of your personal information.

This privacy notice describes how we collect and use personal information about you during the recruitment process, in accordance with the General Data Protection Regulation (GDPR) and applies to all candidates and clients.

This Privacy Notice is for information only; it is not a contractual agreement.

What information do we collect?

In connection with your application to work with us, we will collect, store, and use the following categories of personal information about you:
  • The information you have provided to us in your curriculum vitae and covering letter/email, 
  • The information that you have shared either by phone, email or otherwise may include your name, address, private and corporate e-mail address and phone number, financial information, compliance documentation and references verifying your qualifications and experience, photograph, links to your professional profiles available in the public domain e.g., LinkedIn, Twitter, business Facebook or corporate website.
  • Any information you provide to us during an interview
  • Information you provide in relation to your right to work documentation.
  • Information about your criminal record.

    Sensitive Personal Information

    Sensitive personal information will only be collected directly from you and processed in the context of providing recruitment services. Should you provide any of the below information it will be stored on our CRM files.

      Sensitive data

      • Physical or mental health
      • Political opinions
      • Trade union membership
      • Sexual life
      • Criminal offences

      Retention

      We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable opportunity. Under applicable regulations, we will keep records containing client personal data, account opening documents, communications and anything else as required by applicable laws and regulations. 

      We may rectify, replenish or remove incomplete or inaccurate information, at any time and at our own discretion.

      Cookies

      We and our trusted partners use cookies and other technologies in our related services, including when you visit our Site or access our services. 

      A "cookie" is a small piece of information that a website assigns to your device while you are viewing a website. Cookies are very helpful and can be used for various different purposes.       Cookies do not contain any information that personally identifies you, but Personal Information that we store about you may be linked, by us, to the information stored in and obtained from cookies. You may remove the cookies by following the instructions of your device preferences; however, if you choose to disable cookies, some features of our Site may not operate properly and your online experience may be limited.

      We also use a tool called “Google Analytics” to collect information about your use of the Site. Google Analytics collects information such as how often users access the Site, which pages they visit, when they do so, etc. We use the information we obtain from Google Analytics only to improve our Site and services. Google Analytics collects the IP address assigned to you on the date you visit sites, rather than your name or other identifying information. We do not combine the information collected through the use of Google Analytics with personally identifiable information. Google’s ability to use and share information collected by Google Analytics about your visits to this Site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy.

      Why do we process personal data?

      We as a recruitment business need to process data to take steps at your request prior to entering into a contract with you. 

      We therefore collect personal information to introduce our candidates to our clients for this purpose. We also support individuals throughout their career and support businesses with their resourcing needs and strategies

      In some cases, we need to process data to ensure that we are complying with our legal obligations. For example, we are required to check your eligibility to work in the UK before employment starts.

      We have a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from you allows us to manage the recruitment process, assess and confirm your suitability for employment and decide to whom to offer a job. We may also need to process data from you to respond to and defend against legal claims.

      We process health information if we need to make reasonable adjustments to the recruitment process for you. This is to carry out our obligations and exercise specific rights in relation to employment.

      We will not use your data for any purpose other than the recruitment exercise for which you have applied.

      Who has access to data?

      Your information will be shared internally at Calibre Digital Consulting Ltd for the purposes of the recruitment exercise. We will contact you directly by phone, email or otherwise if a career opportunity becomes available that we believe you would be interested in. We will ask you for your written consent allowing us to forward your personal information onto the Client and we will keep this consent on file within our system.

      We will not share your data with third parties or clients without your consent unless your application for employment is successful and we make you an offer of employment. 

      How do we protect data?

      We take the security of your data seriously. We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. 

      In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our and your instructions and they are subject to a duty of confidentiality.

      For how long do we keep data?

      If your application for employment is unsuccessful, we will hold your data on file for two years. We will delete your personal information from our systems if we have not had any meaningful contact with you for two years (or for such longer period as we believe in good faith that the law or relevant regulators require us to preserve your data). After this period, it is likely that the information we hold will no longer be relevant for the purposes for which it was collected.

      Your rights

      As a data subject, you have a number of rights. You can:
      • Access and obtain a copy of your data on request;
      • Require us to change incorrect or incomplete data;
      • Require us to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
      • Object to the processing of your data where we are relying on our legitimate interests as the legal ground for processing
      • Ask us to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override our legitimate grounds for processing data.

      What if you do not provide personal data?

      You are under no statutory or contractual obligation to provide data to us during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.

      Updates or amendments to this Privacy Policy

      We reserve the right to periodically amend or revise the Privacy Policy; material changes will be effective immediately upon the display of the revised Privacy policy. Your continued use of the Platform, following the notification of such amendments on our website, constitutes your acknowledgment and consent of such amendments to the Privacy Policy and your agreement to be bound by the terms of such amendments.
